Position Summary

The Operations Manager (OM) manages and oversees operations systems for the Colorlines team. This role provides operational support to the team and will work closely with the Colorlines team from editorial to audience engagement to manage day-to-day workflows, processes, and budgets. This person will also work across Race Forward departments liaising with development, finance, and communications. The OM will also oversee and streamline the processes for projects and partnerships with external partners in the journalism industry.

Operational duties include processing freelancer contracts and invoices, logging the Editorial Directors and Deputy Editorial Director's expenses, staying abreast of monthly expenditures for the site, and managing all team budgets including editorial and operations budgets.

The OM supports team members by creating streamlined workflows and processes and a work environment that is supportive and in clear communication with all departments. This also includes onboarding and training Colorlines employees and contractors on our processes.

The OM will serve as a project manager for newsroom initiatives, cultural activities, and external partnerships.

Duties and Responsibilities

  • Ensure that freelancers are paid in a timely manner, interfacing effectively with freelancers and the Finance Department to ensure timely delivery and following up as needed
  • Manage all team budgets including tracking expenses, completing expense reports, and managing the team's reimbursement requests
  • Liaise with Finance Department to manage and oversee contracts with freelancers and external partners
  • Operationalize permissions requests processes to establish as efficient revenue
  • Facilitate training of new team employees and execution of offboarding employees with the Human Resources department
  • Schedule team and cross-departmental meetings
  • Keep the team abreast of administrative updates and managing the team's data security
  • Facilitate effective communication to make sure work across all teams is in alignment and in sync
  • Respond to Colorlines readers' emails in a timely fashion, including solving readers' issues and troubleshooting as needed
  • Respond to team members' emails about specific requests and provide support and follow through as needed
  • Assess organizational practices for the team, research new methods, while implementing as needed
  • Ensure the team is able to maximize efficiency by utilizing shared tools and platforms, including but not limited to: Monday.com, Slack, and Asana; support team members in training and tool utilization as needed
  • Create and produce assets (copy, graphics, videos, etc), sometimes in collaboration with colleagues and external contractors
  • Work with colleagues and cross-functional teams to ideate, create, produce and launch online events on social
  • Create and execute a timeline for Tech to complete site upgrades and design and execute project management for implementation in collaboration with Audience Engagement
  • Support Audience Engagement with implementation of tracking parameters on email and social media posts/campaigns

Qualifications and Experience

  • A bachelor's degree from a four-year journalism or related program and/or a minimum two to three years of journalism-related experience and/or training.
  • One to two years of operations coordination or management experience.

Additional Information

This position requires long periods of time at a desk on a computer and may require time outside of normal business hours. After Race Forward offices are open or the COVID-19 pandemic ends (whichever comes first): 5% travel for team and organizational retreats.
